TITLE: Sales Administrative Assistant
LOCATION: Santa Clara, CA
JOB GRADE: Exempt

GENERAL SUMMARY/ PURPOSE OF POSITION:

The Sales Administrative Assistant provides administrative support to the sales team by preparing proposals, work orders, presentations and handling information requests. The position will also provide client services support in the absence of Account Executive and/or Director of Sales. Work with Director of Business Development to provide additional support for presentations, client meetings and company marketing.

ESSENTIAL JOB FUNCTIONS

  • Coordinate logistics for client meetings; schedule webinar meetings and provide support to ensure meetings run smoothly
  • Attend client meetings to collect notes, action items and build relationship with key clients
  • Handle sales administrative needs as required (e.g., processing mail, providing phone coverage, creating files, prepare contracts, etc.)
  • Coordinate marketing administrative needs as required (e.g., update social media profiles, coordinate website changes, prepare sales kits, etc.)
  • Develop report procedures; provide lead log reports
  • Handle travel arrangements for team.

ESSENTIAL SKILLS:

  • Ability to work and focus in an open environment with constant activity
  • Excellent customer service and interpersonal skills
  • Experience in detail-oriented tasks requiring a high degree of accuracy
  • Excellent administrative skills to include typing 60wpm with minimal errors
  • Effective communication skills, telephone techniques, and proofreading abilities
  • Ability to listen, understand and respond to external and internal customers' needs in a timely manner; customer service experience in a service-related industry preferred
  • Willingness to work the time necessary to complete projects and/or meet deadlines
  • Business software proficient especially with MS Office Suite and CRM systems

QUALIFICATIONS:

  • College degree or equivalent work experience
  • 5 years experience as an Administrative Assistant in a service industry
  • Experience within hospitality industry preferred but not required

ADDITIONAL REQUIREMENTS:

  • Flexibility to occasionally meet for early morning, late evening and/or weekend commitments
  • Consent to and ability to pass a criminal background check
  • Possession of a valid driver's license with a clear driving record
  • Agreement to executing a Non-disclosure Agreement
